PAYMENT, CANCELLATION & REFUND POLICY
1. Membership Fees & Payments
• All memberships (VitaCare™️, Optimization Services, and the E3 Method™️) are billed monthly in advance.
• Membership fees cover access, care coordination, availability, and professional services.
• Medication, lab, and imaging costs are not included and are billed separately by third parties.
2. Refund Policy
Because medical services involve professional time, availability, and clinical resources:
• Membership fees are non-refundable once the billing cycle has started.
• Completed visits and services are non-refundable.
• We do not offer refunds for:
• Unused visits
• Missed or late-canceled appointments
• Dissatisfaction with outcomes when care was provided appropriately
This policy aligns with standard medical practice and concierge care models.
3. Cancellations & Termination
Patient-Initiated Cancellation
• Memberships may be canceled at any time with at least 7 days’ notice before the next billing cycle.
• Cancellation takes effect at the end of the current billing period.
• No partial-month refunds are issued.
Practice-Initiated Termination
VitaRegen Medical reserves the right to discontinue services if:
• Care is no longer clinically appropriate
• The patient does not follow medical recommendations
• There is abusive, threatening, or inappropriate behavior
• Payment obligations are not met
If services are terminated by the practice for non-clinical reasons, any prepaid future charges will be refunded on a prorated basis.
4. Missed Appointments & Late Cancellations
• Missed appointments or cancellations with less than 24 hours’ notice may count as a completed visit.
• Repeated no-shows may result in termination of membership.
5. Dissatisfaction & Concerns
We take patient concerns seriously.
• Patients are encouraged to contact our office to discuss concerns or questions about their care.
• Clinical decisions are based on medical judgment, safety, and appropriateness.
• Outcomes cannot be guaranteed, and dissatisfaction alone does not warrant a refund when services have been provided.
6. Chargebacks & Disputes
• Chargebacks for services rendered may result in immediate suspension of services.
• Patients agree to contact VitaRegen Medical directly before initiating any payment disputes.
7. Policy Acknowledgment
By enrolling in any VitaRegen Medical service or membership, patients acknowledge and agree to this policy.
